How to record your data resolution with Ascemalink
An important part of the Ascema system is to help you to resolve issues with sensitive data in accordance with your own data handling policies. When managing your sensitive data you should do so in accordance with your data handling policies, the Ascema system then provides you with the tools to record that you have done so correctly.
Resolving an individual data itemlink
Having decided how to resolve a piece of sensitive data that was recorded then selecting the Resolve this issue button will open up the resolution menu
- If you select I have redacted / deleted this content the Ascema system will immediately start a search to confirm that your resolution has worked. The report will then be updated to show whether this resolution was effective
- If you select This is a false match the item will be marked as resolved on your report and will now appear on an administrator report for them to confirm that the data is not considered sensitive within your data handling policies
- If you select I am allowed to have this content this will appear on an administrator report for confirmation that this has been correctly handled within your data handling policies
Redacting / deleting contentlink
Usually when you redact / delete some reported content the item will disappear from your report in response to your action. This item will not reappear on your report so long as the content remains redacted.
If there is a a problem with your attempted resolution then your report will be updated with the amended status for your attempt to resolve. The item will remain on your report as it has not been successfully resolved.
If your attempt to resolve an item by redacting it and it does not work your report will still show your item is alerted but with the text changed to let you know what happened. This does not affect your ability to make further attempts to resolve the item in any way, the change of status is just to inform you of what has happened.
For this common means of resolving sensitive data items the Ascema report has the Check if resolved button as a convenient single-click method for checking if an item is redacted and automatically resolving the item if it is.
Notifying false matcheslink
In order to avoid missing potentially troubling items the Ascema system may alert some issues for resoluion where the item is on closer inspection not private or confidential. Where this happens - and in line with the data handling policies of your organisation - such items should be notified as such by selecting This is a false match.
When an item is notified as a false match it will be immediately removed from your normal device report. This item will be reviewed by adminstrators and confirmed by them as a false match and then permanently recorded as resolved.
If the adminstrator review shows a need for further action they will notify you with an alert through the Ascema system. This item will then appear on your report with the text that they entered to explain why the item could not be resolved.
Notifying permitted contentlink
In line with your data policies you may in some cases be permitted to retain confidential information on your computer. If the Ascema system alerts you to data which you have permission to retain then you should record that this item is held in accordance with your data policies by choosing the option I am allowed to have this content.
When an item is notified as allowed it will be immediately removed from your normal device report. This item will be reviewed by adminstrators and confirmed by them as held in accordance with policy and then permanently recorded as resolved.
If the adminstrator review reveals any issue with your holding the data item in question they will be able to alert you to this fact. When you are alerted in this way the item will appear on your report with the text that they entered to explain why there is an issue.
Resolving all the items in a filelink
Where a file contains many similar items to be resolved the Ascema system offers a convenience facility to apply the same resolution to all the items at once. If there are multiple items in the file then you may use the Resolve all these issues menu to select a single resolution for them all. Each of the resolution choices will work exactly as if you had selected them individually for every item.
Resolving items all at once is a time saving feature, it acts just as if you had taken the time to mark them all individually. Depending on your choice of resolution the Ascema system or your adminsitrator can still act on each item independelty to confirm the resolution or return it for further action.
As for the individual items the Ascema report has a convenient one-click Check if resolved button for the common resolution of deleting the file in question. If the file has been deleted and this button is selected then the file will be marked as resolved.
Resolving a quarantined filelink
If a file on your endpoint contains sensitive data it might be placed in quarantine by an administrator. If this happens you will be alerted that the file has been placed in quarantine. Clicking on this alert will present your device report showing any Quarantined items.
Select the file you wish to resolve
The report will present you with the option to Request an admin to Revert from Quarantine
- If you click the Request an admin to Revert from Quarantine button your administrator will receive a notification that you have made this request
- The second option you can pick is to Permanently delete the quarantined file
- If you click the Permanently delete button the quarantined file will be deleted
- All of the sensitive data matches in the deleted file will be marked as Resolved.
